Overview and starter guide to using Mobile Lite.

ELIAS Mobile Lite is simple to use application accessed via a mobile device, to enable and to capture “casual asset change” during Business As Usual “BAU” activity.  Mobile Lite ensures asset integrity of your digital estate, negating the need to have “catch up” asset verification surveys.

The app provides easy to use workflow and a mobile focused UI. Supporting validation of standards, such as CIBSE, NRM and COBIE. It supports change to all attributes of an asset, including condition, location information as well as the commissioning and decommissioning of assets.

Mobile Lite is designed for users where data integrity is not their primary role, however they are best placed to maintain the digital asset register due to the frequency of there contact with assets within the environment and the fact that they are the agent for change within the estate.

Getting Started

Login to Mobile Lite at using your email and password. You will need to have an account set up and have re-set your temporary password see ELIAS First Time Login.

Selecting Account

  • If you have access to more than 1 account or contract you will need to select which account you want to activate and work in first after login.
  • If you only have access to 1 account it will be automatically selected when you login.
  • The account selector is in the navigation panel.
  • The facilities shown on the home page are from the selected account.
  • You will need to sync all data and de-select the active facility to be able to switch account.

Activate your Facility

  • You will not be able to navigate the facility until it is active (you will need to be online to activate).
  • On the home page use the Filter/Search to find the Facility you want to work in and then activate it.
  • On activation, data records are download so you can work offline (activity indicator bar in top of screen).
  • The facility selector will be green and the facility link will be active once all records are ready.
  • Your active facility will always be at the top of the facility listing.
  • Facility can only be de-activated once all facility data is synced (must be done online).
  • You can choose to sync images for offline use on the facility or asset listing page, if this is not selected and the images download prior to going offline you will not see images. When online images will be downloaded and presented to you in the page as you view them.

Navigating the ML app

  • Navigation is asset focused
  • You can access the asset record by;
    • Browse – use the filters to find the asset in the asset listing, select from the listing to see the relevant asset record
    • Search – type a unique asset ref e.g. barcode or serial number into the search box to find the relevant asset record
    • Scan – use your devices camera to scan the QR/Barcode to go directly to the relevant asset record
  • Navigation panel accessible by the 3 bar icon top left provides;
    • Home page (as does the logo on any page) and log out links
    • Sync status
    • Account selection
    • Help information
    • ELIAS APP links
    • For long pages there will be pagination and a back to top link

Asset Details

  • Every asset has it’s own page providing access to the assets information stored in ELIAS.
  • Basic asset details including asset tag ID, asset type, location and any images in the top of the page.
  • Full Asset Identification, Condition & Lifecycle and Additional Information are in the expandible sections.
  • Defects if activated will be in an additional expandible section – not always present.
  • Action buttons are pinned to the bottom of the screen and will be enabled if you have permission to amend assets.

Updating Assets

  • Use the action buttons pinned to the bottom of the asset page.
  • Move and defect are separate buttons if you have permission to make these changes.
  • Changes to an asset are broken down into “Change Types” to make it easy to make specific controlled updates to the asset, it also allows for easier tracking of changes as there are more discrete and easier to approve, if governance is active for your organisation.
  • Use the Update button to open the change drawer, select the change(s) you want to make to the asset.
  • Multiple changes can be selected and will be presented as a workflow allowing you to step through each change in turn.
  • Additional changes can also automatically be included e.g. Condition change will also include an Image update, these can be cancelled if no change is required.

Change Types – Updating Assets

  • Multiple change types are available in the change drawer dependent on your user permissions, you may have access to one or many of the following;
  • On selecting one or many change types, you will be presented with an updated drawer containing the questions for example change asset condition,
  • Some questions are mandatory and will need to be answered, this is indicated by the *,
  • The asset will be validated and guidance provided on save for mandatory questions that need more detail,
  • On save you will be passed to the next set of questions for your selected changes or back to the asset page.

Adding an Asset

  • Assets are added from the asset listing (not the asset details page) using the Add Asset button pinned to the bottom of the page.
  • On selecting Add Asset a drawer will open;
    • Select the asset location
    • Select the asset type
  • You will then be presented with an updated drawer containing the questions required for the chosen asset type.
  • Answer all questions if possible,
  • There are bypass options on some questions,
  • The asset will be validated and guidance provided on save,
  • All mandatory questions will need to be entered or bypassed to save a new asset record,
  • On save you will be passed to the next set of questions for your selected changes or back to the asset page.

Governance Workflow & Approval

  • After completing the change process you will be returned to the original asset page.
  • If your organisation does not use the governance workflow your changes will be present immediately against the asset, including the last edit date and the user who made the last change
  • If your organisation has governance of asset change active, you will see an information panel at the top of the asset page confirming that it is awaiting governance approval. The changes will not be visible against the asset until it is approved.

Working With Mobile Lite

  • Make sure you activate your facility before starting work, do so in a location with a good data connection. This is to ensure you have the data required to be able to capture asset updates at the time of change when all the information is available.
  • You can only access a single account at any one time due to data security guidelines.
  • Include image download on the facility page if you will need the images offline.
  • If working offline for an extended period (hours) try and find a good connection to sync data at regular intervals during the day. This will ensure assets are updated and available in ELIAS.
  • At the end of the day ensure all data is synced via a good data connection. Any un-synced records will be indicated by the un-synced asset counter on the online indicator in the navigation panel.
  • Do not clear down your browser in settings or you will lose data!
